This Privacy Policy explains how Season Honors App ("we," "us," or "our") collects, uses, and protects information when you use the Season Honors platform at seasonhonors.com.

Information Collected Automatically

We do not run analytics tracking or advertising pixels. Basic server logs may be retained by our hosting and infrastructure providers (Vercel, Supabase) for security and operational purposes.

Student Athlete Data

Coaches submit player names, jersey numbers, grades, and school affiliations as part of the nomination process. This information is submitted voluntarily by coaches and is used solely to conduct the honors process. We do not collect student social security numbers, addresses, photos, or other sensitive personally identifiable information.

2. How We Use Your Information

We use the information we collect to:

Authenticate users via magic login links
Operate the season voting process (nominations, voting, results)
Process payments for season licenses
Send transactional emails (login links, phase notifications, results)
Provide commissioner tools for season management
Respond to support requests
Maintain security and prevent fraud

We do not sell your personal information. We do not use your data for advertising or marketing purposes beyond transactional emails related to your active season.

3. Third-Party Service Providers

We use the following third-party services to operate Season Honors. Each provider has their own privacy policy governing their use of your data.

4. Data Retention

We retain your data as follows:

Active seasons: All season data (coaches, nominations, votes, results) is retained while the season is active and for 30 days after results are published.
Account data: Commissioner account information (name, email) is retained until you request account deletion.
Payment records: Stripe retains payment records in accordance with their own retention policy and legal requirements.
Inactive accounts: Accounts with no activity for 12 months may be purged at our discretion.

We recommend downloading your results (PDF or Excel export) before the 30-day archive window expires.

5. Data Security

We take reasonable technical measures to protect your data, including:

All data transmitted over HTTPS (TLS encryption)
Database access controlled by Row Level Security (RLS) policies — coaches can only access data for their own season
Authentication via magic links (no passwords stored)
Payment data handled entirely by Stripe — we never store card numbers

No method of transmission or storage is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security.

6. Children's Privacy

Season Honors is a platform for athletic administrators and coaches — adults acting in a professional capacity. We do not knowingly collect personal information directly from individuals under the age of 18.

Coaches submit student athlete information (names, jersey numbers, grades, schools) as part of the nomination process. This data is limited to what is necessary to conduct the honors process and is not used for any other purpose. Coaches are responsible for ensuring they have appropriate authorization to submit student information.

If you believe student data has been submitted inappropriately, please contact us at seasonhonors@gmail.com and we will remove it promptly.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

Access: Request a copy of the personal data we hold about you
Correction: Request correction of inaccurate data
Deletion: Request deletion of your account and associated data
Portability: Request your data in a portable format (commissioners can export results via Excel)
Opt-out: Disable non-essential email notifications via the season control center toggle

8. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

The right to non-discrimination for exercising your CCPA rights

9. Cookies

Season Honors uses minimal browser storage:

Supabase session tokens: Stored in your browser to maintain your login session
Local storage: Used to temporarily store signup information during the onboarding flow and user preferences (such as collapsed UI panels)

We do not use third-party advertising cookies or tracking pixels.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes, we will make reasonable efforts to notify active users by email. Continued use of the Service after changes constitutes acceptance of the revised policy.
